Who we are
Akmo Solutions Private Limited in Chennai makes Akmo Invoice and is responsible for your personal data.
Akmo Invoice is a product of Akmo Solutions Private Limited, Chennai, Tamil Nadu, India. Akmo Solutions Private Limited publishes the app and decides how the personal data in this policy is used: the Digital Personal Data Protection Act, 2023 calls this the data fiduciary. You can reach us at akmobooks@gmail.com.
What stays with you
Your business data never reaches our servers. It stays on your device and in your own Google Drive.
Your invoices, customers, items, payments, business profile (including seals, letterheads, UPI IDs, links and e-Invoice details), templates and saved designs, logos, signatures, reminders and notification choices are stored on your device. When you connect Google Drive, they are also copied to a hidden app folder and an "Akmo Invoice" folder in your own Drive. We have no server that stores them, and we cannot read them.
Akmo works out suggestions on your device from your own documents, such as each customer's usual items and last rates, and remembers where you stopped an unfinished document. This stays on the device and is never sent anywhere.
Akmo makes e-Invoice files on your device. You upload them to the government's e-Invoice portal yourself and bring its reply back into Akmo; Akmo never sends them. QR codes you add for UPI, reviews, maps or chat hold only what you type, and Akmo never opens those links.
Recurring schedules and contracts, projects and milestones, time entries and running timers (with the name of the member who logged the time on a timesheet), Letters of Undertaking (LUT) and export realisation records, including FIRA or e-BRC references and the files you attach to them, are stored on your device and, when you connect it, in your own Google Drive, like your other business data.
On your device
| Data | Why | Kept for | Who can see it |
|---|---|---|---|
| Your businesses (with seals, letterheads, UPI IDs, links and e-Invoice details), customers, items, documents, payments, templates and saved designs, staff profiles, activity log, reminders and notification choices, recurring schedules, projects and timesheets, LUT and export realisation records, invoice links, bank statement entries, fixed assets and cash forecast settings | So the app works on this device, even offline | Until you delete it or remove Akmo from this device | You, and the staff profiles you allow |
| A log of every change to your records, period locks, and receivables records such as opening bills, disputes and write-offs | To keep your books checkable and age what customers owe you | Until you delete them; the change log is kept for as long as the law asks | You, your team, and only you control your own Google Drive copy |
| This device's settings and sync records, including copies kept after a sync conflict | To keep your devices in step without losing changes | Until you remove Akmo; conflict copies for 30 days | Only you |
| A log of errors on this device, without business data | So you can send it with a problem report, if you choose | The last 500 entries | Only you, unless you send it |
| Month-end stock totals and average costs worked out from your own stock records | So stock screens open quickly on this device | Until you remove Akmo; worked out again from your stock records whenever needed | Only you |
| Where an unfinished document stopped, and counts worked out from your own documents, such as each customer's usual items and last rates | To pick up where you left off and fill in what you usually choose, on this device | Until you remove Akmo; worked out again from your documents whenever needed | Only you |
| Automatic backups taken before an update changes how data is stored | So nothing is lost if an update goes wrong | The newest 3 | Only you |
| Your agreements to our terms, your choices, and messages waiting to be sent to Akmo | So the app knows what you agreed to, and sends it when you are online | Until you remove Akmo; waiting messages until they are sent | Only you |
| The campaign link you arrived on and your "How did you hear about Akmo?" answer | So it can be sent with your usage, only if you share usage | 30 days at most; erased once sent or when you stop sharing usage | Only you |
In your Google Drive
| Data | Why | Kept for | Who can see it |
|---|---|---|---|
| A copy of your business data in a hidden Akmo folder, the files you export, and encrypted invoice copies you share by link (the key stays in the link) | To sync your devices and keep your files | Until you delete it; deleting your account can remove the hidden copy | You. Akmo cannot read your Drive |
Bank statement entries you import (date, details, amounts and balance), the party names Akmo learns from your confirmed matches, your fixed-asset register (cost, dates, depreciation details and sales) and your cash forecast settings are also business data. They stay on your device and in your own Drive like the rest, and Akmo reads statement files only on your device.
What Akmo holds
Only your account, your mobile number, your support requests and the choices you make. Each has a clear reason and an end.
We keep only the data in this table. Unless a row says otherwise, Google Firebase stores it for us in Mumbai, India (asia-south1).
| Data | Why | Kept for | Who can see it |
|---|---|---|---|
| Your sign-in email, name, user ID, sign-in method and dates, your plan, and a health label our staff see, worked out only from the data in this table | To sign you in and keep your account safe, to count how many people use Akmo, and to bill you when paid plans exist | Until you delete your account | Akmo support staff |
| Notes our staff write about your support requests | To help you the same way each time | Until you delete your account | Akmo support staff |
| Problems you report, ideas you suggest, the app language you used, our replies, and the error log you choose to send | To answer your support requests | 2 years after the ticket closes. Deleting your account removes your name and email from it | Akmo support staff |
| Screenshots you attach to a ticket. They may show business data, so we warn you first | To answer your support requests | 90 days after the ticket closes | Akmo support staff |
| Your votes on the roadmap and the items you follow | To count votes and tell you when something is ready | While the roadmap item exists | Akmo support staff |
| App version, platform, number of businesses and the last day you used Akmo (only if you switch it on) | To plan updates and support old versions | 12 months after the last update, or 24 hours after you switch it off | Akmo support staff |
| The first campaign link that brought you to Akmo (for example a WhatsApp or YouTube link), and your answer to "How did you hear about Akmo?", with the date (only if you switch it on) | To learn which campaigns bring people who keep using Akmo. Our staff see only totals, never who came from which link | 13 months, or deleted at once when you stop sharing usage | Nobody by name; Akmo staff see totals only |
| Your choices, and which version of our terms you agreed to, when, in which language and on which kind of device | To respect your choices and show what you agreed to | Until you delete your account | Akmo support staff |
| A device code for sending you notifications, with the device's platform, language and app version (only if you switch it on) | To tell you when we reply to your tickets, release a feature you follow, or send a message about Akmo | Until you sign out, turn notifications off or delete your account | No person; only our sending service |
| Your mobile number, when you verified it, and whether you agreed to SMS offers. While a code is being checked: a scrambled form of it and how many codes were sent today | To contact you for support, to send important account and security alerts, and to confirm it is you if you lose access to your account. Fast2SMS sends the verification code | The number, until you change it or delete your account. Codes: 5 minutes to use, erased within a day | Akmo support staff, masked (for example 98•••••210); the full number only when needed to help you, and each look is logged |
| Your email address, when we email you about a ticket | To tell you we replied | Only as long as needed to send the email | Akmo support staff |
| Your name and email address, if you switch on Emails from Akmo (only if you switch it on) | Developer communications: news about features and plans, at most 2 a month, each with a one-tap unsubscribe link | Until you switch it off or unsubscribe | Akmo staff who send these emails |
| A log of every read of the userbase by Akmo's internal tools: which tool, what it asked for, how many records came back, and when | To keep your data safe: to spot and stop misuse, and to tell you if something goes wrong | 1 year | Akmo Super Admins |
| Your user ID and the event, when you delete your account or switch off usage sharing or Emails from Akmo | So Akmo's internal tools erase their copies within 24 hours | 90 days | Akmo Super Admins |
| Page views and page speed on the website, and the campaign name in a link you followed, without cookies or identifiers | To keep the website fast and see which campaigns bring visits | As totals only | Akmo staff |
| Your user ID, if we add your account to a small group that tries a new feature early | To turn a new feature on for a few accounts before everyone | Until we remove you from the group | Akmo support staff |
| A record of when our staff open your account page or search for your email, and who did it | So every look at your account can be checked later | 2 years | Akmo Super Admins |
Our staff see a simple health label on your account, worked out only from the data in this table. We may add your account to a small group that gets a new feature first; for that we keep only your user ID, and you leave every group when you delete your account.
Google Drive access
Akmo can open only its own hidden folder and the files it creates in your Drive.
The app asks for two Drive permissions only: its own hidden app folder (drive.appdata) and the files it creates (drive.file). It cannot see any other file in your Drive. Data received from Google APIs is used only to sync and export your own records, in line with the Google API Services User Data Policy, including its Limited Use requirements.
Your choices
Usage statistics, offers and emails from Akmo, and notifications are optional. You can switch each one off at any time.
- Usage statistics: off until you agree. We ask once, and you can change it in Settings, then Privacy. If you share usage, it also carries the first campaign link that brought you to Akmo and your answer to "How did you hear about Akmo?". Our staff see only totals, never who came from which link.
- Notifications: we ask your phone for permission only when they become useful to you.
- Offers from Akmo: off unless you switch them on, in Settings, then Privacy. They are only about Akmo's own plans, come at most once a month and never at night, and each one says how to turn them off.
- Emails from Akmo: off unless you tick the box when you start or switch them on in Settings, then Privacy. They bring news about features and plans, at most 2 a month. Every email has a one-tap unsubscribe link, and switching them off takes you off our mailing list at once.
- SMS offers from Akmo: off unless you tick the box when you verify your mobile number. We will not send any until Akmo's SMS sender is registered as the law requires, and you can switch them off at any time. Verification codes and account alerts are not offers.
- Messages from Akmo: news, maintenance, security and legal notices appear in the app. When notifications are allowed, our server places your device in groups by platform, language and app version (Firebase Cloud Messaging topics), so a message reaches the right devices. We never send a message to you by name. Turn notifications off on your device to stop them.
Switching a choice off takes effect on your device at once and on our servers the next time you are online. Switching usage statistics off deletes the usage record we hold within 24 hours. The campaign record is deleted at once.
Our notification promiseNo third-party advertising or tracking
No ads from anyone else, no tracking cookies and no third-party crash reporting. The website counts page views without cookies.
The app contains no third-party advertising, tracking cookies or third-party crash-reporting code. Offers from Akmo, if you switch them on, are only about Akmo's own plans. On the website only (not in the Android or desktop app), Vercel Analytics and Speed Insights count anonymous page views and measure page speed, without cookies and without your business data. Errors are kept in a log on your device; the log leaves the device only if you choose to send it with a problem report, and you see it before it is sent. When you open the website from a link with campaign tags (for example a WhatsApp message or an ad), that visit is counted under the campaign's name, still without cookies; ad click identifiers are never read.
Who we share data with
We never sell your data. Google, Amazon Web Services, Vercel and Fast2SMS process it only on our behalf.
Security
Connections are encrypted, backups can carry a passphrase, and our staff use two-step sign-in.
Connections to Google and to our servers use HTTPS. Backups can be encrypted with a passphrase that only you know. You can lock the app with a PIN or your fingerprint. Our staff sign in with two-step verification. Every change they make, and every time they open your account page or search for your email, is logged. Every time Akmo's internal tools read account data, the read is logged, and the log is kept for a year.
